How to track sales rep commission in Shopify
Shopify does not have a sales-rep ledger. MakeRep assigns each new order to a rep or agent, works out the commission by line, and gives you a statement to download when you pay them.
The problem
A rep might own a wholesale company, a discount code, a tagged order, a sales channel or a till in the shop. The order itself does not say “this commission is owed” once the customer pays, and it changes again if you refund. Doing that in your head at the end of the month means missed orders and arguments about the rate.
Doing it by hand
The manual version is a spreadsheet of reps, a percentage or a fixed fee, and a monthly export of Shopify orders. You filter by tag or discount code, subtract refunds, and email a total. It works for one rep and a quiet month. It gets shaky when two rules could match the same order, or when a product should pay a different rate from the rep’s default.
The spreadsheet also cannot tell you the commission is only payable once the order is fully paid, unless you remember to check the financial status yourself.
Track commission with MakeRep
MakeRep keeps the reps, the rules, the line-by-line commission and the payouts in the Shopify admin.
- Install MakeRep from the Shopify App Store and open it in the Shopify admin. Install from the MakeRep listing (opens in a new tab).
- Add each sales rep or agent and set a percentage, or a fixed amount. Paid plans add separate product and collection rates on top of that.
- Put the attribution rules in the order they should run. The rule types are B2B company or location, discount code, order tag, sales channel, and POS location. An order tag is one of those rules, not the only one. You can also set the rep on an order by hand.
- MakeRep works out commission per line and keeps the breakdown. It becomes payable when the order is fully paid. Refunds reduce it.
- Mark a payout paid when you have paid the rep. Pro adds bulk mark as paid, a full history, and a PDF or CSV statement for each rep. The app does not email that statement. You download it and send it yourself.
- Plus adds refund clawbacks, statements in the customer’s currency, a ZIP of all statements, and Shopify Flow triggers.
The free plan covers one rep, every attribution rule type, a percentage or fixed rate, and the current month on screen. Pro covers up to 10 reps. Plus covers unlimited reps. The prices are on the App Store listing.
Tips
- Rules run in the order you set. The types you can use are B2B company or location, discount code, order tag, sales channel, and POS location.
- Use a tag when that is how you already mark a rep’s orders. Use a discount code, a B2B company or location, a channel, or a POS location when that is the cleaner match. Hand assignment is there for the order that fits none of the rules.
- Wait until the order is fully paid before you treat the commission as owed. An unpaid order is not payable yet.
- Refunds reduce the commission. Plus is the plan that adds refund clawbacks on top of that.
- Download the PDF or CSV from Pro or Plus and send it yourself. There is no email button in the app.
Questions
Can I assign an order with a tag?
Yes. An order tag is one of the rules. The others are B2B company or location, discount code, sales channel and POS location. Rules run in the order you set, and you can still set the rep by hand.
When does commission become payable?
When the order is fully paid. Refunds reduce the commission. MakeRep works it out per line from a percentage or a fixed amount, with product and collection rates on paid plans.
Does MakeRep email the statement?
No. The app does not email the statement. On Pro and Plus you download a PDF or CSV for each rep. Plus can also download a ZIP of all statements.
Where is the MakeRep price?
The plan price is on the Shopify App Store listing (opens in a new tab). The listing is also where you install the app.
